Using CatchOn

You know CatchOn provides you with real-time information to help you assess the value on investment you are realizing from apps you've purchased, identify what other apps are being used in your schools, and more. Wondering exactly where to look and what to click to access this information? Here is the what and the how of getting the most from CatchOn.

What Apps Does CatchOn Track?

CatchOn tracks usage for all apps in the CatchOn Apps Library. The CatchOn Apps Library contains an extensive collection of digital tools including applications, websites, and software which are vetted and proven to be of value to educators, students, and administrators. Usage of these apps is tracked across all your district’s Chrome, Windows, Mac, and iOS devices.

Each app in the library has been vetted and receives a positive mark for at least one of the following criteria:

  • Is the tool designed for students in grades K-12 for learning, research, intervention, or assessment?
  • Is the tool designed to provide a service for a school or district’s staff to aid in learning?
  • Does the tool provide teachers with professional development or resources for learning?
  • Can the tool provide reference materials for learning?
  • Can the tool be used for group collaboration, distance learning, blended learning, or home-school connection?

The CatchOn Apps Library is updated continually as new apps become available. In addition, all CatchOn users can easily request an app it be vetted for inclusion.

How Does CatchOn Track Usage?

When a user in your district accesses an app from a district-owned device on which the CatchOn agent is loaded, CatchOn records that as an engagement for that hour

How Do I Login to CatchOn?

Point your browser to https://login.getcatchon.com and use your Google or Office365 credentials to login.

How Do I Download the Data?

Click the download icon at the top of any report to download the data to a csv file.

Dashboard

Usage Trend

Trends for your MyApps are measured by comparing engagements between a current period and a previous period.

On the Dashboard, you seeThe images in this guide have been scrubbed of actual user data. In cases where the description refers to data you do not see in the image, you will see the data when you are logged into CatchOn and reviewing data for you district. the total number of your trending MyApps for this 7-day period as compared to the last 7-day period at the top of Usage Trend tile, and the number of your MyApps trending up below it.

Usage Trend data for all apps

Click on the Usage Trend tile on the Dashboard to drill down into a list of your trending MyApps and details on which apps are showing increased and decreased usage. Click on the calendar to change the comparison period.

Click the arrow in the top right of an app tile to drill down into the usage trend data for a single app. This data is broken down by campus. Click the calendar icon to change the comparison period.

Professional Development

CatchOn identifies apps for which you may want to target Professional Development resources. CatchOn flags apps in your My Apps for which it detects a sharp fall in engagements in the last 30-day period as compared to the previous-30 day period, as well as apps you have added to your My Apps within the last 30 days.

Professional Development data for all apps

Click on the Professional Development tile on the Dashboard to see a list of all apps flagged for Professional Development. You see the number of engagements for the current 30-day period as compared to the previous 30-day period. Filtering the list by System recommendations shows you the apps for which a sharp fall in engagements is detected. Filtering the list by Recently added shows you apps added to your My Apps within the last 30 days.

Click the arrow in the top right of an app tile to drill down into data for that specific app. You see data for Campus Usage and Trends in Apps by Users.

Trending Apps

At the top of the Trending Apps tile, you seeThe images in this guide have been scrubbed of actual user data. In cases where the description refers to data you do not see in the image, you will see the data when you are logged into CatchOn and reviewing data for you district. the total number of apps in the CatchOn Apps Library with which users engaged in your district in the current 7-day period. The number of your My Apps with which users engaged in your district in the current 7-day period is shown in the added apps line.

Trending Apps data for all apps

Click on the Trending Apps tile on the Dashboard to drill down into details. For each app, you see the number of Engagements for the selected time period. Click to know highest engagements count to see date with highest engagement counts and number.

You can filter the Trending Apps data by:

  • Tags
  • Pinned Items

    When you identify a trending app you want to closely monitor, you can pin it by clicking the triangle that appears in the top right corner when you roll your mouse over the tile. You can filter the Trending Apps list by Pinned Items to focus on these apps.

  • Approved Apps

    These are apps which you and your district have vetted and sanctioned for use. You can add an app to your approved list by rolling your mouse over the app tile and clicking  To Approve. You may download the list of approved apps to share with staff.

  • Unapproved Apps
  • Grade level and Campus (Advanced search)

You can sort the Trending Apps data by:

  • Name
  • Engagements
  • Avg. users
  • Time period

Trending Apps data for a single app

Click the arrow in the top right of an app tile to drill down into data for that specific app. You see data for Campus Usage and Trends in Apps by Users.

Renewal Status

At the top of the Renewal Status tile, you seeThe images in this guide have been scrubbed of actual user data. In cases where the description refers to data you do not see in the image, you will see the data when you are logged into CatchOn and reviewing data for you district. the number of apps coming up for license renewal in the next 30 days, as well as apps for which license expired within last 30 days.

Renewal Status data for all apps

Click on the Renewal Status tile on the Dashboard to drill down into a list of apps.

You see the renewal due date as well as the percentage and number of total licenses used in the selected period.

Click the calendar to change the period for which you are viewing data.

When you roll your mouse over an app tile, you see Renew License. Click here to update your license information in CatchOn.

Click the arrow in the top right of an app tile to drill down into more detailed license and usage data for that specific app.

Filter data

You can use the Apps bar to filter the data below the row of drill down tiles at the top of the Dashboard in the following ways:

  • Tags

    Click + Add tags to filter by one or more commonly used tags.

  • Show All and Favorites
  • Date range

    Select an interval from the drop-down or click Custom to enter a specific range.

  • Grade level

    Select from drop-down under Advanced Search

  • Campus

    Once you select a grade level under Advanced Search, select a campus.

Most Used Apps

In this panel you see a table showing usage data for your My Apps. The table includes:

  • Apps (name)
  • Engagements
  • Operating system of device from which app was accessed
  • Av. daily users
  • Total licenses
  • License used
  • Annual license cost

You can sort data by any column with a bold heading.

License Usage

Shows the total number of apps licenses used. This is a cumulative amount and identifies how many unique users have utilized this app over the life of the license.

Spend By Apps

This chart shows the total current investment of your digital tools. Roll your mouse over a circle chart segment to see what the district is spending on an app.

Trends In Apps By Users

This graph provides a visual representation of trends over time for apps.

Each line on the graph represents a specific app. Roll your mouse over a point on the graph to see the app name and the number of users that accessed the app on that day.

My Apps

MyApps is the set of digital tools which you and your staff consider key to accomplishing your district’s curricular goals and for which you want to track usage.

Apps for which your district has purchased a license or a subscription are included in your MyApps. You may also include apps for which you want detailed reporting which do not require a license or subscription.

If your district has purchased a license or a subscription for an app, license cost and renewal information is tracked by CatchOn as well. This information is the basis for calculating percentages of licenses used, cost per user, as well as renewal reminders. As you subscribe to additional apps throughout the year, you may add or update license information.

Highlight an app in the list to see detailed data relating actual usage to subscription cost, historical renewal data, usage rank, and usage data specific to that application.

Filter My Apps Data

You can filter your My Apps data by tags or by:

  • Show all
  • Favorites
  • Upcoming renewals
  • Expired renewals
  • Recently added
  • Disabled apps

Settings

Click Settings to Create license or Disable app. Disabling an app removes it from your My Apps.

Apps Library

Apps

The Apps Library contains all apps for which CatchOn is gathering data. This is a powerful resource you can use to see alternative apps being used by other districts.

Filter apps library data

Click Other district apps to filter the list by apps being used by other CatchOn districts, and click Free apps to filter for apps with no license fee.

You can sort the list by Name, Engagements, License Cost, or No. of districts using the app. Click the arrow to toggle between the top and bottom of a list.

Add to My Apps

When you roll your mouse over an app tile, you see the option to add to My Apps.

View details for an app

Click on the app icon to open details for the app. These details include:

  • Usage trends
  • Description
  • URL
  • Percentage of CatchOn Districts who have approved the app
  • Percentage of CatchOn Districts using the app
  • Average number of licenses per district
  • Average engagements per district
  • Per license cost

App Request Form

If you would like to request that an app not found in the library be added, click the App Request Form. CatchOn will review the request and if the app meets the criteria, it will be added to the library.

App Request Status

Click here to see the status of requests you have submitted for an app to be added to the library.

Roster Manager

Your CatchOn Roster includes the information needed to track and parse data by grade level and campus.

Campus List

This list contains the names of all the campuses in your CatchOn Roster, the campus grade level, and the number of users at each campus.

New Campus Information

In order for CatchOn to provide you with the most accurate data available, it is important that your roster information is current and accurate. Click New Campus Information to manually update your roster.

CSV Status Tracker

Once you have uploaded New Campus Information to CatchOn, you track its status of being added to your roster here.

Profile Setting

FTP Connect

It is possible to dynamically update your roster information by pushing a CSV file directly from your Student Information System to CatchOn. If you prefer to use this option, CatchOn will work closely with you to configure the necessary FTP Connect settings during implementation.

Schedule Reports

The CatchOn auto report is a high-level snapshot of app usage activity in your district. If you would like to receive a pdf of this report, you may set the interval here.
